JOB PURPOSE:
Support the execution of IT/software development projects as a project assistant.
Coordinate and manage outsourced IT staffing, from recruitment to performance evaluation.
Monitor project budgets, track actual spending, and support financial reporting.
Handle contract processing, payment documentation, and vendor coordination.
Apply AI tools to improve efficiency in reporting, documentation, and administrative tasks.
KEY RESPONSIBILITIES:
Act as a project assistant on IT/software development projects, supporting timeline adherence, resource coordination, and team communication.
Monitor project budgets, track actual spending versus planned, and raise early warnings on any variances.
Maintain accurate records of project financial and contractual obligations and support the preparation of IT contract documents.
Coordinate the recruitment of outsourced IT staff based on project needs.
Handle onboarding and offboarding processes, including workspace logistics, account provisioning, and documentation.
Delivery orientation sessions to ensure outsourced staff understand company policies and project roles.
Conduct monthly performance reviews of outsourced staff in coordination with project leaders.
Ensure outsourced staff comply with MBAL policies and regulations; report any breaches to management.
JOB QUALIFICATIONS:
2–3 years of experience in IT governance, vendor management, or project administration.
Hands-on experience managing outsourced staff in IT or software development environments.
Familiarity with IT project budgeting, contract processing, and procurement procedures.
Experience assisting software or IT project teams in tracking progress, coordinating resources, and maintaining project documentation.
Strong organizational and coordination skills.
Detail-oriented with good documentation and reporting capabilities.
Basic understanding of IT contract structures, common terms, and lifecycle.
Good communication and teamwork skills to work across departments and with external vendors.
Proficiency in Microsoft Office (Excel, Word, PowerPoint); experience with project management tools is a plus.
Ability to apply AI tools (e.g., ChatGPT, Copilot, document summarization tools) to enhance productivity in reporting, documentation, data analysis, and process optimization.
